What is Content Retention in UICapture?

Videos in UICapture will be removed if they have not received a view in 4 years, 1460 consecutive days. This process will check all content and folders nightly to ensure that the assets that are no longer being used are being cleaned up appropriately.
Should a video receive a view in that time, the 4-year count resets.

When will this be turned on?

This change will go in effect starting July 1, 2020. The cleanup process runs nightly between 8:00 pm and 4:00 am.

Why change now?

Content retention was one of the many features we gained by moving from our old On-Premise installation of UICapture to the Hosted environment. Currently, there are ~115,000 sessions in UICapture and of those roughly 20,000 fall outside of the 4-year cleanup cycle. Of the 20,000 queued to be removed about a quarter of them have never been viewed. This unused content both clutters the environment and contributes to the evergrowing footprint of the platform.

I have a lecture I need to keep, but it won't be actively viewed. What can I do?

There are a few options for this. If your department has resources for archiving media off-platform, the podcast feed of the session can be downloaded within the settings in UICapture. This flat video will no longer feature slide notes or the table of contents, but the primary and secondary video (if present) will be included.

Each college also has a means of archiving within UICapture. If you wish to retain the session as it was built/recorded, reach out to the ITS Help Desk or your local UICapture support to find out more about those options.

When was this change approved?

This change was approved by both academic and administrative bodies on campus (ATAC, SCIT, etc.) with the move to the hosted environment.

This change in practice also aligns the service with other platforms available on campus and to the guidelines set up when the service was established centrally back in 2009.

What do I do if I need to keep something that was deleted?

If you notice that something has been removed from one of your folders, please contact the Help Desk or your collegiate UICapture admin as soon as possible.

Content can be recovered up to 90 days after it was removed.
Please review your course materials before publishing your course each semester.
